Ticketing Terms & Conditions

Definitions

“Us”, “We”, “Our” and “the Committee” denotes the Gonville & Caius May Ball 2019 committee.

Gonville & Caius” or “Caius” denotes Gonville & Caius College, University of Cambridge, Trinity Street, Cambridge CB2 1TA.

“Our affiliates” denotes the servants, agents and workers of the Gonville &   Caius May Ball 2019 committee.

“The Ball” denotes the Gonville & Caius May Ball 2019, to be held on Tuesday 18 June 2019.

“Tickets” denotes tickets for the Gonville & Caius May Ball 2019.

“Guests” denotes any ticket holder.

“Primary ticket holder” denotes the current Gonville & Caius student, fellow or alumni of the college who holds one or more tickets to the ball.

Terms & Conditions

1a) A maximum of two tickets can be applied for per standard application and only one standard application per person may be submitted. Only Caius students in statu pupillari, fellows of Caius or alumni of Caius over the age of 18 may make a standard application.

b) Applications will be accepted from current Caius students from 12:00 on 23 February 2019.

c) Caius alumni and Fellows may apply for up to two tickets, one of which must be for themselves. Caius Alumni and Fellows may apply for tickets from 23 February 2019 at 12:00.

2a) No distinction will be made between undergraduate and graduate students. Current Caius students, fellows and alumni are not guaranteed tickets.

b) We do not and shall not discriminate on the basis of race, colour, religion (creed), gender, gender expression, age, national origin (ancestry), disability, marital status, sexual orientation or military status.

3a) The success of any and all applications is entirely at our discretion. Dining and standard tickets will be will be allocated on a first-come, first-served basis.

b) All applications must be made online at www.caiusball.com. Paper applications from current Caius students will not usually be accepted.

c) Payment for tickets will be accepted by bankcard only through our website. A £2.50 booking fee will be applied on top of the cost of the ticket.

d) Tickets will be delivered via email.

e) The Committee will operate a waiting list in the event that the demand for tickets exceeds supply. Allocation of a place on the waiting list does not guarantee a ticket to the ball. If a ticket offer is not accepted within 24 hours we reserve the right to cancel the offer. 

4a) Tickets can be cancelled and a full refund given free of charge until 3 March 2019 at 12:00, thereafter ticket refunds will be subject to a £50 deduction from the original ticket price. Booking fees are non-refundable. From 9 June 2019 tickets cannot be cancelled or refunded.

b) Name changes will be allowed to guest tickets only and are subject to the following restrictions and prices:

i) Name changes are free until 22 March.

ii) Name changes are charged at £10 from 23 March until 17 May.

iii) Name changes are charged at £35 from 18 May until 14 June.

iv) From the 15 June onwards, name changes will not be permitted.

c) Only in exceptional circumstances and on a case-by-case basis will any of the conditions in (4) be reconsidered by the committee and entirely at its discretion. 

5) Tickets are not for resale. Any ticket-holder found to be selling tickets online or otherwise will have their ticket(s) cancelled and a refund will not be given. 

6a) We reserve the right to amend or alter the Entertainments programme, without prior notice.

b) We reserve the right to amend or alter the Menu, without prior notice.

7a) We reserve the right to deny entry to ticket holders. Lack of acceptable photo identification will result in automatic refusal. Acceptable ID includes UIS Cambridge University Card, passport, EU driving licence or national identity card, biometric residence permit (BRP) or valid PASS (Proof of Age Standards Scheme) ID card. Those deemed to be under the undue influence of alcohol or illegal drugs will be denied entry.

b) We reserve the right to expel any ticket holder from the ball. Antisocial behaviour may lead to ejection from the ball. No refund will be granted following expulsion from the ball, for whatever reason. 

c) Guests are considered the responsibility of the primary ticket holder, thus the primary ticket holder is liable for any damages caused by their guest.

d) Ticket holders found in possession of illegal drugs will have them confiscated and will be expelled from the ball. The police may be contacted.

e) Ticket holders may enter the ball up until 22:30 on the day of the event, after which their ticket becomes null and void. If guests leave, they shall not be readmitted.

f) Guests found to not have a valid ticket in their possession or to have gained entry to the ball without purchasing a valid ticket will be expelled from the ball. Similarly any guest facilitating entry of someone not holding a ticket will be expelled from the ball. We reserve the right to seek financial compensation equal to the value of at least one ticket per person from such individuals.

8) We shall not be liable for any loss, damage, death or personal injury, howsoever caused to ticket holders; save for death or personal injury caused by our negligence.

9) The Ball has a strict over-18 policy. Guests will require photo identification which will be checked on entry to the ball. Any individual under the age of 18 years found in the ball will be expelled. 

10) We reserve the right to amend our terms and conditions, notice of this will be given on

Terms and Conditions (tickets purchased on or after 2 March 2019)

 

 ‘Us’, ‘we’, ‘our’ and ‘the Committee’ denotes the Gonville & Caius May Ball Committee. ‘Gonville & Caius’ or ‘Caius’ denotes Gonville & Caius College of the University of Cambridge.

‘The Ball’ denotes the Gonville & Caius May Ball 2019, to be held on Tuesday 18 June 2019.

‘Tickets’ denotes tickets for the Gonville & Caius May Ball 2019.

‘Guests’ denotes attendees of the Ball who are not members of Gonville & Caius College and whose tickets have been purchased for them by a primary ticket holder.

‘Primary ticket holder’ denotes the current member of the University of Cambridge or alumnus of Gonville & Caius College in whose name a booking has been made.

‘Caian’ denotes a current or past (eg alumni) member of Gonville & Caius College.

‘Current Caian’ denotes a Caian who is a current member of Gonville & Caius College. ‘the University’ refers to the University of Cambridge.

 

1.      Application of these terms

a. These terms and conditions apply to all tickets purchased for the Gonville & Caius May Ball on or after 2 March 2019, including tickets sold:

i.        to current Caians for themselves and, optionally, guests.

ii.       to current Caians as additional guest tickets.

iii.     to Caius alumni for themselves and, optionally, guests. iv. to Caius alumni as additional guest tickets.

v.in general release to any member of the University of Cambridge.

b. Ticket holders who purchased tickets before the publication of these updated terms and conditions can opt for the originally published terms and conditions (also found on our website) to apply to their tickets instead of these updated terms and conditions.

2.      Purchases made by current Caians

a. Each current member of College is entitled to purchase one ticket for themselves. Current members of College include:

i.Members of the JCR. ii. Members of the MCR. iii. Fellows.

iv.Other teaching staff such as teaching associates.

b.      The status of any Caian’s right to buy tickets is at the discretion of the committee.

c.       From 2 March 2019, current members of College are entitled to purchase a total of four guest tickets.

d.      The total of four guest tickets includes any tickets purchased in the original release before 2 March 2019.

e.      Guests do not have to belong to the College or the University.

f.        Tickets are subject to availability. The Committee reserves the right to reject any application to purchase tickets for the Ball.

g.      Ticket prices are detailed on our website and are subject to change.

3.      Purchases made by Caius alumni

a.      Each alumnus of College is entitled to purchase one ticket for themselves.

b.      The status of any alumnus’ right to buy tickets is at the discretion of the committee.

c.       Alumni may purchase up to four guest tickets each in addition to their own ticket.

d.      The total of four guest tickets includes any tickets purchased in the original release before 2 March 2019.

e.      Guests do not have to belong to the College or the University or be alumni of either institution. 

f.        Tickets are subject to availability. The Committee reserves the right to reject any application to purchase tickets for the Ball.

g.      Ticket prices are detailed on our website and are subject to change.

4.      Purchases made by members of the University who are not members of Gonville &

Caius College

a.      Current members of the University of Cambridge who

i.        are not members of Gonville & Caius College;

ii.       are members of another College of the University of Cambridge;

may purchase one ticket for themselves.

b.      The status of any University member’s right to buy a ticket is at the discretion of the committee.

c.       Guest tickets may not be purchased by members of the University who are not Caians.

d.      Tickets are subject to availability. The Committee reserves the right to reject any application to purchase tickets for the Ball.

e.      Ticket prices are detailed on our website and are subject to change.

5.      Ticket purchase

a.      The success of any and all bookings is entirely at the discretion of the Committee.

b.      All purchases must be made through our website at www.caiusball.com.

c.       All tickets are served on a first-come, first-served basis.

d.      Payment for tickets will only be accepted on our website via bankcard.

e.      Each ticket will incur a £2.50 booking fee, applied on top of the ticket price.

f.        Tickets will be delivered by email in June 2019.

g.      In case tickets sell out, a waiting list will enter into operation.

i.        Gaining access to the waiting list is no guarantee of a ticket to the Ball.

ii.       The Committee reserves the right to cancel the offer of tickets to those on the waiting list if they are not taken up within 24 hours.

6.      Ticket alterations

a.      Name changes may be made to

i.        guest tickets purchased by current Caians;

ii.       guest tickets purchased by Caius alumni.

b.      Name changes will cost

i.          nothing until 1 April 2019;

ii.         £10 from 2 April 2019 until 17 May 2019;

iii.       £35 from 18 May 2019 until 14 June 2019.

c.       Name changes will not be permitted after 14 June 2019.

d.      In exceptional circumstances, name changes may be made to the primary ticket if the primary ticket is held by a Caian and is being transferred to another Caian who does not themselves hold a ticket for the Ball.

e.      Name changes may not, under any circumstances, be made to tickets where the primary ticket holder is not a Caian.

f.        A ‘dining upgrade’ may be purchased on our website to change a standard ticket to a dining ticket, subject to availability.

7.      Ticket cancellations

a.      A ticket holder shall be deemed to have given notice of cancellation if an email is received by the ticketing officer (mayball-ticketing@cai.cam.ac.uk) which clearly states that they would like their ticket(s) cancelled.

b.      Tickets can be cancelled for a full refund of the ticket price if notice of cancellation is given less than 48 hours after the purchase of tickets.

c.       Tickets cancelled after the 48-hour grace period will be refunded minus £50 for each ticket cancelled.

d.      Tickets cannot be cancelled from 9 June 2019.

e.      A Caian who has purchased guest tickets in addition to their own ticket may not cancel their own ticket.

f.        The Committee reserves the right to cancel any booking.

g.      The £2.50 booking fee is non-refundable in all cases.

8.      General terms of purchase

a.      Tickets are not for resale.

b.      The Committee reserves the right to cancel, without refund, the tickets of any ticket holder found to be selling, having sold or attempting to sell their ticket online or otherwise.

c.       We reserve the right to alter any aspect of the Ball without prior notice. This includes, but is not limited to:

i.        the Ents programme;

ii.       the menu;

iii.     food or drink; iv. entrance times;

v.finish time.

9.      Admission and conduct

a.      No one under the age of 18 may purchase a ticket or be admitted to the Ball.

b.      All guests must present valid photo-ID on entry to the Ball. Valid ID includes:

i.        European driving licence;

ii.       passport;

iii.     UIS Cambridge University Card; iv.biometric residence permit (BRP);

v.Proof of Age Standards Scheme (PASS) card.

c.       Entry to the Ball will not be permitted after 22:30 on the night of the Ball.

d.      Ticket holders leaving the Ball will not be readmitted.

e.      Those deemed to be under the undue influence of alcohol or drugs will be denied entry to the Ball.

f.        We reserve the right to expel any ticket holder from the Ball.

g.      Anti-social behaviour will result in expulsion from the Ball.

h.      Alcohol and illegal drugs may not be brought into the Ball. Any ticket holder found to have brought in alcohol or illegal drugs will be expelled from the Ball.

i.        Guests are considered the responsibility of the primary ticket holder. The primary ticket holder is liable for any damages caused by their guest(s).

j.        Anyone found to be present at the Ball without a valid ticket will be expelled and the Committee will seek financial compensation for use of the Ball without payment.

k.       Any ticket holders found facilitating ticketless entry to the Ball will be expelled from the Ball.

l.        Ticket holders expelled from the Ball will not be refunded. 

10.  Committee responsibilities

a.      We do not and shall not discriminate on the basis of race, colour, ethnicity, national origin, gender identity, sex, sexual orientation, age, disability, marital status or other protected characteristics.

b.      No distinction will be made between undergraduate and postgraduate students.

c.       We shall not be liable for any loss, damage, death or personal injury, howsoever caused to ticket holders, save for death or personal injury caused by our negligence.
